They now have a new role which will provide a great opportunity to work with a group awesome people in a great organisational culture and working environment based in Claremont in Cape Town.
In this Front-of-House & Office Administration role, you will be working within our close-knit team of highly
experienced Investment professionals. This is a key new role that is the first point-of-contact for our business to-
business wealth management clients, that requires maturity, confidence, calmness, awareness of the
differing needs and characteristics of individuals, diligence, accuracy, a “can do” attitude, and the ability to work
independently across multiple concurrent activities. The role is responsible for creating and maintaining a
welcoming and pleasant environment for clients and visitors, and for maintaining a pleasant office
environment for team members. The broader responsibility of the role covers a range of activities within
the areas of office management, client service and compliance, together with responsibility for assisting the
directors with various planning and administrative activities.
The role interacts directly with the company’s wealth management clients, leading asset managers, service providers to
the investment industry, and with all the members of the team. In this role you will benefit from hands-on
interaction with owners and senior executives of local wealth management firms, and with senior executives
from across the local and global investment industry. In addition, through involvement within many areas of
our firm, you will get the opportunity to work alongside directors and senior members of our team that will
provide you with the opportunity to develop your knowledge and expertise of the investment industry.
The Role
The successful candidate will report to the Head of Client Service and shall be responsible for leading the front of-
house, office management, travel management, and PA to directors’ activities. The successful candidate will
be a key member of the client-facing team and will also perform regular and ad hoc administrative and support
functions in the areas of client service, general business administration, compliance, online services, and adviser
programmes. The role will be a key contributor to the team’s professional and efficient approach to delivering
our specialist investment services to clients and will require the successful candidate to be comfortable to
undertake planning and administrative functions independently, accurately, timeously and with regular
communications.
Work Experience
The ideal candidate for this role will have 10+ years’ work experience, with a major portion of their experience
gained through working within a professional services Investment Company and must have some experience of working for an Investment or Asset Management company. The duties include the following:
• Front-of-house (incl. reception and switchboard)
• Personal assistance to senior business executives
• Office management
• General office administration
• Traffic management in a complex commercial environment
• Liaison and planning between different areas of the investment business
• General communications between a professional services firm and business-to-business clients
• Planning and administration related to business-to-business client servicing
• Co-ordination and booking of travel arrangements for business executives
• Administration related to regulatory compliance in a professional services firm
• Compilation and publishing of reports, documents, articles, etc.
• Management of online client record-keeping and reporting
Qualifications and Skills
Qualifications and skills serve to demonstrate the potential candidate’s expertise to perform this role. The type
of qualifications and skills we are looking for include the following:
Diplomas & Degrees (or similar): University / Technikon qualifications preferable.
Additional Studies: Additional studies in areas of investments is preferable.
Computer Skills: Essential to be computer savvy, and comfortable to learn and work with new software systems;
Proficient use of all MS Office applications (incl. MS Excel, Word, PowerPoint) is essential to succeed in this role;
Proficient use of Adobe PDF (incl. creating, editing, and publishing Adobe PDF’s).
