Our client is a longstanding and reputable Wealth Management business based in Cape Town. As an Investment Operations Associate, you will work closely with all facets of the business and be part of a team that includes Wealth Advisors (consultants), Portfolio Analysts and Operational Administrators. This will include:

1. ADMINISTRATIVE SUPPORT

• Providing support to consultants in dealing with all client related queries, strategy, admin including followup and report-back • Liaising with the Directors and consultants on all issues pertaining to client investments, correspondence, requirements and communication • Assisting the Directors and consultants with client proposals, reviewing drafts and validating formatting and content prior to delivery • Developing agendas for client meetings, setting up meetings and recording attendance/ taking meeting minutes. • Assisting with document preparation for client meetings – including creation, formatting and editing of presentations • Ensuring prompt delivery of client deliverables, reports and updates • Monitoring and following up on all deliverables (client and internal); ensuring the timeous delivery thereof • Assisting with all administrative tasks as required to run the business in an efficient and optimal manner

2. REPORTING

• Assisting in the population of client reports and or supporting documentation • Assisting with the preparation of client communication and the distribution thereof e.g. Quarterly comments, market updates, monthly client report-back. • Performing comprehensive checks for each client report produced and taking responsibility for ensuring the accuracy and quality of reporting and other client-related outputs • Reconciling differences in client reports • Gain an understanding of each client’s investment strategies and likely service requirements and work with the operational team to ensure the reports are appropriate for each client’s specific requirements • Ensure that any strategic changes to the portfolio are correctly reflected in the client reports • Monitoring, managing and reporting on any changes/transitions that might occur within clients’ portfolios, ensuring these are communicated to the broader team.

3. CLIENT LIAISON

• Interacting with clients telephonically, via correspondence or assisting the Directors and consultants in client meetings • Dealing with sensitive and confidential information • Handling administration of client portfolio changes and the implementation of recommendations, including monitoring in accordance with strategic requirements and reporting on status. • Following up and rectifying any administrative problems / issues that might occur • Having oversight of all client transactions being handled by the operations/admin team including resource allocation and monitoring • Interfacing with the consultants, Investment Analysts and Operations team on client strategy and implementation • Documenting all correspondence and dealings with clients and communicating with the Directors

4. COMPLIANCE

• Ensuring that client advice and communication is documented and filed in terms of regulatory requirements. • Liaising with third party Compliance service providers, assisting with reporting and adherence to compliance requirements. • Assisting with the management of client records and files in terms of compliance requirements • Managing and maintaining the integrity and completeness of all documentation and data in client files • Assisting with the preparation for any compliance reports or audits.

5. OPERATIONAL SUPPORT

• Assisting with the development and refinement of the work-flow between asset managers, clients and the operations team • Following up and liaising with vendors / platforms / asset managers on all deals, transactions and client instructions • Investigating and validating product supplier fees and reporting on the various fees and charges across client portfolios • Investigating / making enquiries on new products / third party offerings requested by the Directorate in response to Client interest • Liaising with other ops team members to ensure reports, presentations and other ad hoc deliverables are completed • Managing task priority and scheduling pertaining to specific clients and deliverables. • Ensuring appropriate assignment and following-up on ad-hoc deliverables • Assisting the analyst team with asset manager due diligence and report back (domestic and offshore) • Regularly review and communicate with managers to understand process, views and positioning

6. EDUCATIONAL AND SKILLS REQUIREMENTS:

• Relevant Bachelor’s degree (eg B.Com, B.Bus Sci) from an accredited institution • Postgraduate studies such as CFP or CFA (or CFP/ CFA candidate) will be advantageous • Prior experience in the Wealth Management industry essential • Experience in Financial Services and in particular with FAIS • Highly numerate / analytical • Detail orientated with strong organisational and communication skills. • Ability to work collaboratively • Integrity and honesty • Commitment to client service • Proficient in Microsoft Office with high level Excel and Powerpoint skills • Excellent organisational skills • Excellent attention to detail • Excellent communication skills.
