Purpose of the Role:

An Asset Management company in the Southern Suburbs of Cape Town is looking for an Office Manager with experience gained in an Asset Management / Investments environment. This is a fantastic opportunity for a professional multi-skilled administrator to manage a small of office of Investment professionals and become part of a dynamic and growing young company. Applicants must have a least three years of experience gained in an Asset Management company and be familiar with workflow processes and infrastructure principles of the world of investments.

 

Duties and Responsibilities:

  • Co-ordinate and maintain effective office procedures and efficient workflows
  • Schedule appointments and maintain diaries
  • E-mail inbox co-ordination
  • Co-ordinate the company meeting venues and arrange parking
  • Receive and assist visitors and refer them as appropriate
  • Provide refreshments for all client meetings
  • Supervise a cleaning lady and Facilities and maintenance incumbents.
  • Arrange catering for breakfast and lunch meetings when required
  • Ordering, monitoring and replenishing refreshment stocks
  • Arrange business itineraries and co-ordinate travel requirements
  • Proficient skills for using PowerPoint, Excel, Word and Outlook
  • Assist with the co-ordination and management of ad hoc projects
  • Collect and distribute newspapers, magazines and mail to staff
  • Provide administrative assistance to support the leadership of the executives
  • Understanding of fund performance – e.g. updating graphs
  • Accounts, credit card and petty cash recons, expense claims, invoicing etc
  • Managing CRM database and quarterly newsletter
  • Marketing, website updates and tracking media coverage

 

Basic Requirements:

  • Experience as an Office Manager, PA or Admin Assistant in Asset Management/Investments Industry)
  • Computer literacy skills (MS Word, intermediate Excel, PowerPoint, Outlook and Internet)
  • Professional approach and dedicated to providing the highest standards of customer service
